Media Services Coordinator

Summary

Assists with managing the day-to-day operations of the Media Services unit and the library collections circulating technology and physical media (DVDs) available for loan. The incumbent collaborates with the Media Services Manager to ensure successful operations of the unit. Assists with managing the library’s circulation of technology, AV equipment, and physical media. Responsible for processing and scheduling user access to the media and technology collections. The incumbent also develops technology-related resource guides and instructional programming for Media Services and Makerspace services related, but not limited to, Digital Scholarship. The incumbent is entrusted with project management responsibilities and the delegation of work. The incumbent responds directly to user inquiries through email, chat, ticketing, one on one consultations, and telephone. Helps coordinate the large format and poster printing service and public scanning services. Manages the Media Services student staff, including hiring, scheduling, training, coaching, evaluating, organizing, and delegating daily work. The incumbent is responsible for completing part time payroll and tracking part time budget expenditures.

Description
  1. Assists users with access to the library’s media and technology collections, including answering user inquiries and other direct-to-user services. Collaborates with faculty and University departments to identify and support their media and technology needs. Organizes and maintains scheduling of media and technology reservations. Resolves patron problems efficiently and effectively in accordance with Access Services policies and procedures. Is invested with on-the-spot, independent decision-making authority to determine the ability of a patron to access and/or borrow library materials. Communicates library policies and copyright guidelines to patrons. Promotes and highlights services and collections, including conducting technology related instructional sessions. Provides content for media and technology outreach through social media, web pages, video tutorials and library guides.
  2. Maintains and organizes the resources in the library’s circulating technology and media collections. Resources include the collection of laptops and other multimedia hardware, the public access scanners, AV equipment, and other departmental hardware. Arranges updates and maintenance of resources, including service calls, software updates, and website revisions. Troubleshoots user problems with the technology and repairs equipment. Makes technology purchasing and replacement decisions in collaboration with the Media Services Manager. Identifies new technology to meet evolving user needs. 
  3. Hires, trains, and supervises Media Services part time student staff. Submits biweekly payroll and monitors the Media Services part time budget.
  4. Participates in departmental planning and projects to improve library and Access Services processes. Coordinates systems needs for Media Services with other Access Services staff and manages scanner maintenance, bricking overdue/lost Chromebooks. 
  5. Perform unit responsibilities, including engaging in unit meetings, assisting with maintaining unit document, participating with shaping unit policies and procedures. Serve as essential services staff member in the event of a University closing due to inclement weather or emergency. Other duties as assigned within the division, library, or university.

Supervisory Responsibility

  • Hiring, training, supervising, coaching a part time student staff of 3-5.

Position Type/Expected Hours of Work

  • Full Time, 35 hrs/week.
  • Coordinator/Analyst B.
  • Non-exempt.

Qualifications

Required Education and Experience

  • 1-3 years of relevant experience.
  • Customer service and management/supervisory experience.
  • Experience in accounting or handling financial/monetary transactions.
  • Strong Excel and/or other organizational/reporting software experience.
  • Experience generating and analyzing reports.
  • Experience working with a team to complete common objectives.
  • Strong ability to prioritize and multi-task, including the ability to reprioritize tasks to resolve urgent complex issues that arise.
  • Attention to detail and excellent communication skills – both oral and written – are essential.
  • Ability to solve problems, work without supervision, make evaluative judgments independently, and formulate exceptions to policies and procedures.
  • Sound judgment with the ability to use discretion, maintain confidentiality, work independently, and complete projects by deadlines.
  • Ability to resolve conflicts, handle stressful and/or emergency situations.
  • Ability to participate in planning and implementing short and long-term goals, make evaluative judgments, formulate exceptions to policies and procedures, and work without supervision.
  • Demonstrated ability to manage projects.
  • Experience providing assistance with electronic resources access and troubleshooting related issues.

Preferred Education and Experience

  • Master's degree or equivalent.
  • Some education or experience in library science and familiarity with library-specific systems such as Alma/Primo a unified cloud-based discovery platform.
  • Experience providing reference/research assistance.
  • 2-4 years of relevant experience.
  • Experience using Alma/Primo VE / Ares / Microsoft Office 365.
  • Experience in library consortia.
  • Experience in multimedia production and filmmaking.

Additional Eligibility Qualifications

  • Experience with laptops and technological equipment highly desirable.
  • Prior filmmaking or audio recording experience is highly desired.
  • Prior experience troubleshooting technology or working with 3D printing is desired.
  • Experience working with a contemporary integrated library system preferred.

About the Department/Unit

Media Services is a small team which works closely together to build, maintain, and support the Library's collections of media materials and circulating technology equipment. On a daily basis, Media Services works with the other units within the Library's Discovery Access and Assessment division to provide services to users and support the academic programs of the University.
